Business Tip: Excellence in Optometrical Practice

Last month we outlined the 7 parts to "Business Acumen ". This month we will concentrate on:

Part 1 - Management.

Management is about the staff and the processes that make the business function.

Over the years, speaking to hundreds of optometrists, the number one problem seems to be: "If only I could find good staff, I would have no problems".

A successful business, especially in optometry can only be built with happy, enthusiastic and knowledgeable staff.

Believe it or not renumeration is not necessarily the answer here. A fair wage is normally what is required. Most people want to have responsibility, so the trick here is to break up the business into different areas and delegate responsibilty of the area to a specific staff member.

Most businesses suffer from not knowing who is ultimately resposible for a specific activity.

The best way to get this point across is to use the delegation of responsibilty in The Eye Practice. Some of the areas we have broken up are our profit centres:

1. Consultations - I am responsible here. I have designed the flow of the consultation from preliminary testing to the hand over for dispensing.

2. Frames - my wife Nicole is responsible for this area. She loves fashion and therefore loves organising what frames we will stock and how they will be displayed.

3. Spectacle lenses - our optical dispenser Brian is in charge of keeping the practice up to date on all spectacle lens options.

4. Contact lenses - our other optical dispenser Diane is in charge of contact lens orders, returns, credits.

Other areas include:

  • Accounting, Insurance, Legal - our book keeper Vicki controls this.
  • Premises - our part-time receptionist Christine takes control of this. This can be keeping things clean, replacing light bulbs, making sure there is coffee, milk etc.
  • Our other part-time receptionist Mercedes has her set of responsibilities.

The delegation spreadsheet of our practice has over twenty headings. Only one practice member is in charge of a heading, consequently that staff member understands very specifically where they fit into the organization. I believe this has created harmony and co-operation within our business, which is the backbone to progress.

Business acumen is not only important for the proprietor but also the employee optometrist. If the employee optometrist can be more profitable for the practice, the proprietor can afford to reward the employee at a higher rate.

Over the course of the next few months I challenge both employees and employers to work together in creating a working environment that is rewarding for all.

Therapeutic Tip: Vitreoretinal Surgery

This month Dr Andrew Chang discusses advances in small gauge vitreoretinal surgery. This stuff is just amazing. there are even links to streaming video of some of these delicate procedures - this is not to be missed.

Often patients complain of vitreous floaters and ask whether there is a procedure to relieve them of these annoyances from their visual field. In days gone by I would not even consider it as an option. After reading this great paper, it is obvious that the benefit might now be worth the risk.
